What is Paperless Portal?
Paperless Portal allows you as the client to provide the booking system with the tenant and landlord details; these details can then allow the system to automatically send out the Inventory Report to the Tenant and Landlord for the purposes of:
Providing a copy
Rather than printing a bulky report with numerous pages of text and pictures of the property, a digital copy is sent that can be downloaded and stored by the Tenant and Landlord. Most Inventory and Checkout documents are normally over 40 pages long, this would be a lot of ink and paper to use up and in most cases these paper documents get lost or ruined over time. A digital copy can be downloaded anytime day or night and the photos can be enlarged from the report.
Verification
The paperless Portal also gives the opportunity for Tenants and Landlords to add additional comments or pictures to the report, this can give all parties involved extra piece of mind that if they feel a description does need more detail or more evidence then this can be added with in a 7 day window of the tenancy starting.
Checkout Stage
After the tenancy has ended we have to re-visit the property to conduct the outgoing inspection. If the original inventory was on paper, its unlikely to be in good readable condition unless stored correctly, there is also a chance this could get lost or may not be the original report meaning it maybe missing tenants comments and sign off.
With the digital copy we can download the latest verison from our system which contains any comments added from the parties involved at the start of the tenancy and allows us to conduct a fair comparable checkout.
Digital Record
Every action also taken by the parties, from signing into the Portal, downloading the report and adding comments is digital time stamped at the end of the report providing evidence of all actions that have taken place with the report.
