Paperless Portal

We've gone paperless.

What is Paperless Portal?

Paperless Portal allows you to securely enter tenant and landlord details directly into our booking system. Once submitted, the system automatically distributes the Inventory Report to both the tenant and landlord for the following purposes:

Providing a copy

Rather than printing bulky reports filled with pages of text and property photographs, a digital copy is issued to both the tenant and landlord. This can be easily downloaded and securely stored for future reference. Inventory and checkout reports often exceed 40 pages, which would otherwise require a significant amount of paper and ink. In many cases, printed reports are misplaced, damaged, or lost over time. With a digital report, documents can be accessed anytime, day or night, and photos can be enlarged directly within the report for clearer detail.

Verification

The Paperless Portal also allows tenants and landlords to add additional comments or upload photographs directly to the report. This provides all parties with added peace of mind, ensuring that if any descriptions require further detail or supporting evidence, it can be submitted within a 7-day window from the start of the tenancy.

Checkout Stage

Once the tenancy has ended, we revisit the property to carry out the outgoing inspection. Where the original inventory was produced on paper, it is often no longer in good, readable condition unless it has been carefully stored. There is also a risk that the document may have been lost or may not be the final signed version, meaning tenant comments or sign-off could be missing.

With a digital inventory, the most up-to-date version can be downloaded directly from our system. This includes all comments and confirmations added by the relevant parties at the start of the tenancy, allowing us to complete a fair and accurate comparative checkout.

Digital Record

Every action taken by the parties — including logging into the Portal, downloading the report, and adding comments — is digitally time-stamped and recorded at the end of the report. This provides clear, verifiable evidence of all activity associated with the document.
